Are you safeguarding PII

SHAW AIR FORCE BASE, S.C. -- It is everyone's responsibility and obligation to ensure Personally Identifiable Information is properly collected, accessed, used shared and disposed of with the Air Force workplace at all times.

PII is defined as any information about and individual maintained by an agency that can be used to distinguish an individual's identity, such as their name, social security number, date and place of birth, mother's maiden name, biometrics records, etc.

Protecting PII is a responsibility of every Air Force member and civilian employee. Loss of PII poses a risk to personnel as well as the security of our installations and systems. Privacy incidents also erode public trust in our record keeping as well as information assurance capabilities.

Sending PII to a personal e-mail account is strictly prohibited. All emails containing PII or other sensitive information must be encrypted. When encryption is not used, there is always the risk for compromise and targeting by hackers and identity theft. Alternate means are available to transmit PII or other sensitive information when email encryption is not possible. These include the following: facsimile, regular mail, hand delivery, or a DoD -approved file exchange capability, such as the Safe Access File Exchange.

DoD 5400.11-R, DoD Privacy Program and AFI 33-332, Air Force Privacy Program establishes the current DoD and Air Force reporting requirements whenever a PII breach occurs. If you have any questions, please contact your local Privacy Act Manager.
